BACKGROUND

The Sustainable Inshore Fisheries Trust (SIFT) is a Scottish charity founded in 2011. Its aim is to achieve the sustainable management of Scotland’s inshore waters so that they provide the maximum long term benefits to all coastal communities. SIFT’s first Project will be in the Firth of Clyde, which has suffered severe ecological and economic losses since the introduction of widespread seabed trawling and dredging.

The Firth of Clyde Project (“the Project”) seeks to create a Static Gear Reserve over a substantial area of the Firth of Clyde thereby reducing the effects of sea-bed trawling and scallop dredging over the wider Clyde area, creating a well manage creel and line fishery with the aim of restoring the Firth’s ecosystem so that it can once again support a healthy mixed fishery. JOB OUTLINE

SIFT has employed a full time Project Coordinator for the Firth of Clyde Project and is now seeking an Assistant to:

  • Work with Project Coordinator and the SIFT Trustees on the Clyde project. This will include assisting with the development and implementation of: the fisheries management plan; the stakeholder engagement plan and the media strategy;
  • Work with the SIFT Trustees on the development and implementation of other SIFT projects.
  • General administration of SIFT and it’s Projects.

The ideal candidate will have good knowledge of marine or fisheries sciences with a passionate interest in fisheries management and sustainability issues and a good understanding of west of Scotland fishery issues. Stakeholder engagement will be an important element of this role so we would expect the successful candidate to have excellent presentational skills. Ideally the successful candidate will have had experience working in a charity or small business environment.

DUTIES & RESPONSIBILITIES

Website and Media

  • Ensure SIFT’s website and social media outlets are operational and regularly updated
  • Assist with the on-going development of the website and social media resources

Communications

  • Assist with the preparation and production of internal and external publications
  • Assist with the development of communications and campaigning materials
  • Distribute publications and information to SIFT’s stakeholders and news media
  • Maintain regular professional-standard contact with SIFT’s supporters
  • Answer enquiries from the public and other stakeholders
  • Identify potential media stories, issue press releases and respond to media enquiries and generally to promote SIFTs work in a confident, inspirational and motivational way.

Events and Meetings

  • Provide and co-ordinate administrative support for events and meetings
  • Invoice and keep accurate records of attendees and stakeholders at events and meetings
  • Ensure distribution of all documentation in advance of events and meetings and act as point of contact for all attendees
  • Assist in the reception, running and success of events
  • Take notes at meetings and draft minutes

Database and Filing

  • Assist in ensuring an accurate system for filing is in place
  • Ensure that SIFT’s contact, stakeholder and other databases are updated and maintained, and that the Data Protection Act is adhered to
  • Maintain SIFT’s on-line library of research and fisheries related publications

Finance

  • Ensure appropriate financial information is gathered monthly for accountancy purposes
  • Manage financial receipts and payments and record them appropriately
  • Process all incoming invoices and expenses
  • Administer donor tracking

CANDIDATE

The successful candidate must have the following key attributes:

  • Excellent communication skills to include telephone, writing and presentations
  • Office skills to include:
  • Proven experience of and ability to use Microsoft Office, Excel spreadsheets and databases
  • Experience in developing and maintaining office systems
  • A good standard of literacy and numeracy – to record information accurately and deal with finance
  • Initiative – ability to deal with queries in the absence of other staff and take appropriate action, ability to work independently.
  • A commitment to Sustainable Development and Sustainable Inshore Fisheries
  • Possession of a driving licence and access to own transport and the ability to travel frequently around the Firth of Clyde area

OTHER ATTRIBUTES

  • Experience in an administrative post or a post with significant administrative responsibilities will be an advantage
  • Experience and understanding of fisheries and sustainable development issues
  • Experience in stakeholder engagement processes
  • Experience in using website management software

TERMS OF EMPLOYMENT

Outline details of the terms of employment are set out below:

  • Length of Contract. Initially for 12 months with potential for renewal thereafter. There is funding for this position for a period of 30 months in total.
  • Annual Leave. 35 days holiday including public holidays.
  • Hours of Work. 35 hours per week; this may include some weekends and evenings.
  • Location. The successful applicant will initially be expected to work from home for which suitable IT and communications services will be supplied. It is the intention that a Clyde area office will be established subsequently.
  • Probation. There will be a 6 month probation period for the successful candidate.
  • Recording. Weekly time sheets will be required to be filled in.
  • Training. Induction training will be given where appropriate
  • Appraisals. There will be monthly support and monitoring meetings and six monthly appraisals.
  • Expenses. Approved expenses will be reimbursed each month
